Why a company needs context, not another tool

2 min read

Documents, processes and decisions become more useful when their connections are clear.

Information goes beyond a file

A document can be correct and current without answering an employee's question. What is missing may be context: which customer it concerns, which process it belongs to and whether it describes a rule, an exception or a working agreement.

Adding another tool does not solve this automatically. First establish the source of information and who is responsible for keeping it current.

Connect knowledge to everyday work

Shared context links information to roles, tasks and operating rules. A procedure becomes useful when the team can find it alongside a specific task and tell whether it still applies.

This does not mean everyone should see everything. Access must match the user's responsibilities. Connecting data should not remove boundaries between teams or customers.

Begin with one process

Choose a recurring process and describe the information needed at each stage. Mark sources, owners and decision points. This helps reveal whether the problem is missing data, restricted access or unclear responsibility.

IM.AI develops systems connecting data, processes, knowledge and decisions. A shared architecture should support real organisational work, not create another place to store the same documents.
